Search for the best tools for online coaches and you get a ranked list of products, usually written by somebody who sells one of them. This is not that, for a simple reason: the right answer depends entirely on which of six jobs you are currently doing badly, and no ranking can know that.
So here are the six jobs. Score your own week against them, and the shortlist writes itself.
1 · Turning an enquiry into a paying client
Someone messages you asking about coaching. What happens next, and how long does it take? For most coaches the honest answer is "it depends what I was doing", and the enquiries that arrive on a busy Saturday convert worse than the ones that arrive on a quiet Tuesday. A tool that only stores contacts does not do this job. A tool that answers, qualifies, and books does.
2 · Knowing who somebody is before you write their plan
Goals, injuries, equipment, schedule, food they will not eat, what happened last time they tried this. If that lives in a chat history, you are re-reading a thread every time you write a block. The job here is a profile that is filled in once and read every time.
3 · Producing the plan
This is the job most tools quietly do not do. A library of exercises is storage. A template you copy is storage with extra steps. The job is producing this client’s next four weeks from what you know about them, in your programming style, at a quality you would put your name on. Anything that leaves you at a blank page on a Sunday evening has not done it.
4 · Getting it in front of the client where they already are
Most coaching happens in a messaging app, because that is where clients already live. Every tool that requires a client to download something and remember a password loses a percentage of them in the first week, and it is never the disciplined ones you lose. Ask of any tool: what does the client have to install, and what happens to compliance if they do not.
5 · Noticing a stall before the client cancels
Check-ins, weights, adherence, or simply that somebody has gone quiet for eleven days. Almost every cancellation is visible in the data two or three weeks before it arrives in your inbox. The job is not charts — you can already read charts. The job is being told, without having to look.
6 · The business behind the coaching
Invoices, renewals, failed payments, the client whose block ended nine days ago and who nobody has re-signed. This is the job coaches most often leave to memory, and it is the one that decides whether the business is worth running.
How to read a shortlist against these
- Does it write, or does it only store? Storage is cheap and you probably already have some.
- Does it work where your clients already are, or does it need them to move?
- Does it tell you things, or does it wait to be asked?
- What happens to your plans and client records if you leave? Export, or hostage?
- How many of the six does it cover honestly, rather than by having a page with the right heading?
The right number of tools is however many it takes to cover the six jobs once each. Sprawl is paying twice for the same job; consolidation is paying once for a job that is not being done.
The disclosure
We make Neofitness, which is built to cover all six for a coach running a roster on their own, with NeoAI writing the first draft of the training and meal plans and the coach signing everything off before a client sees it. If you take one thing from this article, take the six jobs rather than the recommendation — they will still be the right questions when you are evaluating something we did not build.
