The AI operator for creative agencies

Get your Tuesday back.

Neoflow reads what your clients send, moves the work on, and tells you what it did.

Free · no call, no card

A written teardown from a person, inside two working days. Nothing is scheduled, nothing auto-sends, and there is no card.

Or start freeNo card, cancel any time, your data stays yours.

Used to send you the teardown and to answer if you reply. Not sold, not added to a sequence, and deleted on request.

The Neoflow dashboard — the AI operator for creative agencies — showing open leads, proposals out, live projects, late tasks and money owed on one screen.

The problem

Your agency does not have a talent problem. It has a follow-up problem.

The creative work gets done. What slips is everything around it: the proposal nobody sent, the invoice nobody chased, the client who was never told the edit was ready.

Eleven tabs, one job

A CRM, a drive, a chat, a spreadsheet, an invoicing tool. None of them knows what the others did, so you become the integration.

The busywork is the bottleneck

Chasing footage, renaming files, reminding a client to approve. None of it is creative, and all of it is on you.

Revenue leaks quietly

One invoice sent nine days late is not a crisis. Forty of them a year is the hire you did not make.

Dashboards do not do the work

A tool that shows you what is behind is one more tool you have to remember to check.

The shift

Stop being the integration between your own tools.

Nothing here is another place to type. The change is that the day moves on while you are in a shoot, an edit, or asleep.

Your week now

You remember the follow-up, or nobody does.

Your week with Neoflow

The follow-up is drafted the moment it is due, in your voice, waiting for one click.

Your week now

A client emails at 22:40 and it sits until morning.

Your week with Neoflow

It is read, filed against the right project, and answered or flagged before you wake up.

Your week now

The invoice goes out when someone notices the job is done.

Your week with Neoflow

Delivery raises it, the chase runs on a schedule, and payment reconciles itself.

Your week now

You find out something slipped at the weekly meeting.

Your week with Neoflow

You are told the hour it slips, with the one action that unsticks it.

The shape of it

Four numbers, and all four are about the product.

12steps
in the agency day it runs, from a lead landing to the invoice clearing.
15minutes
between one look at the whole agency and the next, all day, every day.
5languages
across the product and this site, Arabic included, right to left.
100per cent
of what it does is previewed first, written to an audit log, and reversible.

No customer counts and no dollar totals on this page. We are pre-launch, and a number we cannot show you the workings of is a number we will not print.

Why us

Built inside an agency, not around one.

Neoflow started as the internal system of a small video agency in Rosemère, Québec, built because the alternative was another spreadsheet. It runs the twelve steps above because those are the twelve steps that kept breaking.

From the people building it

We built this because our own agency kept dropping the same four balls, and none of them were creative ones. If it does not save you an afternoon in the first week, tell us and we will fix it or tell you it is not ready.

Creative agencies. Not freelancers, not enterprises, not everyone.
One question
We measure the product against one thing only: did the day run?

Integrations

18 apps, and one rule that covers all of them.

Neoflow connects to the tools your agency already runs on. You connect an app once, name the clients it may read for, and NeoAI works inside it — reading what it is designated to read, and asking before it writes anything anybody else will see.

Connected is not the same as readable

Connecting Gmail does not give NeoAI your inbox. It gives it the client addresses you have designated, and nothing else — the same rule for all of them, enforced on our side of the connection rather than promised in a policy.

  • Gmail
  • Outlook
  • Google Calendar
  • Calendly
  • Google Meet
  • Slack
  • WhatsApp
  • Notion
  • Google Docs
  • Google Drive
  • Google Sheets
  • HubSpot

Composio carries the connection

We do not ask for your password, and we do not store a Google or Meta credential of our own. Connections are brokered by Composio, an integration provider that holds the OAuth token and hands us a scoped, revocable handle to it. Pressing Disconnect in Neoflow revokes the handle; revoking Neoflow in Google or Slack ends it from the other side. Either one is enough.

Marked apps need the provider’s own app review before they will serve a production account at scale. We say so on the card rather than letting you find out at the first API call.

How it works

Three steps, and you only do the first one.

  1. Connect what you already use

Gmail, Drive, Slack, Instagram, Stripe, and the rest. One sign-in each, no export, no migration, and you can revoke any of them in a click.

  2. It learns the agency

Who your clients are, what you deliver for each of them, how they are spoken to, and the one thing they have said never to do.

  3. It runs the day — and asks before it spends or sends

Sorting, filing, drafting and chasing it does. Money leaving and email reaching a client are always a question first, and the answer is one click either way.

Most agencies are through the first step in under ten minutes, because it is a list of accounts you already have.

One day, twelve steps

The whole job, end to end.

Neoflow exists to run one day well: the day a lead becomes a paid, delivered, invoiced project. Every feature serves a step below. If it does not map here, we do not build it.

  1. 01

    New lead

Captured from your form or your inbox, with the details already pulled out.

  2. 02

    Qualify

Budget, timeline and fit, scored, with the reasoning shown rather than hidden.

  3. 03

    Send proposal

Drafted from the brief and your past work. You approve it, then it goes.

  4. 04

    Client pays

A deposit link inside the proposal. The payment clears and the project starts.

  5. 05

    Create workspace

Project, folders, permissions and a client-facing view, all created for you.

  6. 06

    Assign editor

Matched on who is free and what kind of work it is, then briefed automatically.

  7. 07

    Receive footage

Large files land, get checked and get sorted. Nobody renames anything by hand.

  8. 08

    Edit

Versions, notes and timecodes in one thread instead of five different ones.

  9. 09

    Client approves

One link, no login for them, and reminders that keep going until it is signed off.

  10. 10

    Deliver

Final masters, in the formats the client actually asked for, where they expect them.

  11. 11

    Send invoice

Raised on delivery, chased on a schedule, reconciled the moment it is paid.

  12. 12

    Ask for testimonial

At the exact moment they are happiest, which is never the moment you remember.

How the agency management software works, step by step

The awkward questions

The three things you are actually worried about.

Will it email my clients without asking me?

No. Sending anything outbound and spending anything are hard-gated: the operator writes the message, shows you the sentence, and waits. That gate is in the database, not in a setting somebody can leave off.

You want access to my inbox?

To the client addresses you designate, and to nothing else — enforced in the query, in the code and in the row-level policy. Disconnect and every copy is deleted. Your personal mail is never in scope.

Is this another dashboard I have to remember to open?

It is the opposite claim. The operator looks at the whole agency every fifteen minutes and comes to you — in email, on WhatsApp, or in the app if that is where you are. A screen you have to remember is a screen that failed.

Row-level security, every table

A request can only ever reach its own workspace’s rows, and the database enforces that, not the application code.

Google sign-in and 2FA

TOTP two-factor with recovery codes, and an owner can require it for everyone in the workspace.

Payments you can audit

Checkout is hosted by Stripe, so card details never touch our servers. Every webhook is signature-verified and idempotent.

Nothing acts behind your back

Money and outbound email ask first, always. Every action is previewed, written to an audit log, and reversible.

Your inbox is not the product

The AI reads mail from the client addresses you designate and from nobody else — enforced in the query, in the code and in the database. Disconnect and the copies are deleted.

Hardened in transit

HTTPS only, HSTS preloaded, and a strict Content-Security-Policy with a fresh nonce on every request.

Your data leaves when you do

Export it, or delete the workspace and it is gone. Nothing is held hostage to make leaving painful.

Pricing

One plan. One price. No seat arithmetic.

Everything the operator can do, for the whole agency. Priced per workspace, because you should not pay a penalty for hiring the freelancer you needed for one job.

Start without paying

Leads, projects, invoices and the operator’s suggestions are free, so you can run one real job end to end before you decide. The plan is what unlocks the leverage: the operator acting on its own, email sent as your agency, and your team.

Before you ask

What people ask before they try it.

What is an AI operator, exactly?

Software that watches your agency and does the repetitive work before you ask, instead of showing you a list of things you have not done. It reads what clients send, works out what needs to happen next, prepares the action, and either runs it or asks you first — then writes down what it did.

How is this different from project management software?

A project tool records the state of the work and waits for somebody to open it. Neoflow reacts to the events themselves — an email arriving, an approval being pressed, a payment clearing — and produces a prepared action rather than a notification. The twelve steps of an agency day are the product, not a template you have to configure first.

Will it email my clients without asking me?

Not unless you have deliberately turned that on, for that kind of action. Anything involving money or a message leaving the building starts at ask-first and stays there until you move the dial yourself, and one switch pauses every automation across the workspace.

What can it actually reach?

The apps your agency already runs on, connected one at a time: mail, calendars, files, messaging, payments and ads. Each connection is scoped to the clients you designate, so it reads a client’s thread rather than your inbox, and disconnecting deletes the copy.

Is it built for my kind of agency?

It is built for creative studios — video, design, content, marketing — running client work end to end, from the enquiry to the invoice. If your week is proposals, projects, approvals and chasing, the twelve steps will look familiar. If you sell a product rather than client work, it will not.
