Which one you should pick
If your Notion setup is holding your documentation, keep it — and connect it. If it is also being asked to be your CRM, your invoicing and your approval trail, that is the half worth moving, and it is the half where the failures actually cost money.

Three specifics, rather than a feature list
Notion is the best place to write things down
Briefs, processes, meeting notes, client wikis. Nothing here competes with that, and the integration writes into it rather than around it.
A database is not a ledger
An invoices database knows what you typed. It does not know what is overdue unless somebody maintains it, and it cannot chase.
Clients do not live in your workspace
Approvals that require a client to open your tool are approvals that arrive late. The client’s own inbox is where they already are.
The three things a database cannot do
A Notion database is an excellent record of what somebody typed. What it cannot do is notice, act, or reach outside itself — and every operational failure an agency has is one of those three.
- Notice: an invoice went past due, a staging link has been unanswered for nine days, a retainer renews in a fortnight.
- Act: write the chase, raise the invoice, prepare the renewal, put it in front of somebody.
- Reach: do it on the channel the client actually answers on, rather than on a page they were invited to.
Automations and agents can be built against a database, and Notion ships them. They still act on what is already in the workspace, which is the part that was never the bottleneck: the bottleneck is that the email arrived and nobody turned it into a row.
What most agencies actually do
They keep Notion for what it is good at and stop asking it to be the system of record for money and client communication. Connecting the two is a supported arrangement rather than a workaround: Notion is one of the connected apps, and the operator can search a client’s pages and write a brief or a recap into them.
The question is not which tool wins. It is which half of your agency should be a document.
The migration nobody should do
Moving a wiki into a product that is not a wiki. Briefs, process docs and meeting notes are better where they are, and a migration of them is weeks of work that produces a worse version of what you had.
