Is this overkill for one person?

Do I have to move my email?
No. Gmail or Outlook stays where it is and is connected read-and-write for the contacts you designate. Nothing is migrated, no address changes, and disconnecting takes the access away immediately.
What happens if I stop paying?
The data stays yours and stays exportable. Downgrading closes the features the plan carried rather than the record of your clients, and account deletion is a separate, deliberate act with its own confirmation.
Can I add someone later without redoing everything?
Yes — a workspace takes members with roles, and everything already recorded stays where it is. A subcontractor can be given one client rather than the whole workspace, which is enforced per row in the database rather than by hiding a menu.
